We take great care in protecting your privacy; you will always remain in control over your own data

Dear visitor,

As the CEO of Mila, I’d like to take the opportunity to tell you that we operate with integrity and we take care in providing privacy and security for you.

Our key message here is: Your personal information is not our product.

Instead of giving Mila away for free, we charge you for using our service. This is the reason why we will not misuse, sell, or exploit any of the information you provide to us.

To break from complicated legal jargon and hidden exceptions, we chose to write this policy in a simple question and answer format.

What kind of information do you collect?

We do not read or store your emails

We make sure that no-one at our company reads, receives, scans, or stores text (i.e. subjects and bodies) from your emails. We are obligated to ask for content access from Google; however, we only need the meta information from the emails. This consists of:

  • The e-mail hosting provider;
  • Email addresses of the sender, receiver, and those in CC and BCC;
  • Date and time of sending/receiving the email.

Finally, we check if contacts are already on the list of a connected tool based on their name and email address. No other information is extracted.

We do not save information we do not need

We do not store any password information. All connections you make with other services are based on open authentication (oAuth). This means that the services can only connect to each other if you grant access inside each of the services.

We do not store credit card information

For payments we collaborate with our billing partner Stripe. They meet or exceed the most stringent industry standards.

We do use the services of third party services

We make use of third parties, to enrich the profiles of your contacts. The information we add to the profiles is based on data that is publicly available and bundled by these services for ease of use.

We do use cookies and analytics

Finally, we use industry standard cookies and analytics tools such as Google Analytics and Intercom to gather and analyze information on how users use Mila. We primarily use this information for support and to prioritize which feature we should focus on next.

We ask some personal information for contact and promotion

We may use your personal information to contact you with newsletters, marketing or promotional materials and other information that may be of interest to you. You may opt out of receiving any of these communications from us by following the unsubscribe link or instructions provided in any email we send or by contacting us.

How do you collect information?

When you login to Mila, you will see a request to access your email provider. Using the IMAP protocol, Mila does not scan all the contents of your inbox; we only retrieve the information as described above. In addition, Mila never changes or deletes anything from your inbox. The third party integrations are connected through standard industry security protocols.

How do you use the information you collect?

Mila analyses the acquired email header information to filter ‘actual people’ from ‘automated senders’ and to define relevance of a contact for you. We store this information in order to launch new features without the need of requesting data several times. Furthermore, we archive your contacts for you, so you can easily share them with colleagues or invite them for online contacts services. Finally, we use this archive to keep track of the contacts that you’ve processed.

What control do I have over my personal data?

By deleting your account you do not just remove your ‘profile-data’ but all collected data from your inbox, all data gathered by third parties, and all data created by your actions on our servers. There is no restore function if you do this. If you choose to delete a third-party integration, we remove all information on your account related to this integration. If you are not sure whether you are ready for this, there is an option to ‘disable’ first, instead of ‘delete’ completely.

Our information is stored on servers in the United States. So sadly, I cannot ensure the NSA is not listening in. But who can really? If you feel uncomfortable, you can delete your account at any time.

What happens if the privacy policy changes?

In this instance, I will let you know by email personally and I will explain in clear terms what is changing and why. If the changes are not comfortable for you, you can cancel your subscription without any obligations and delete your account at any time.

How do you protect my information?

I cannot provide a 100% guarantee that no one will ever break into Mila. Protection on the web is somewhat like protecting your home: Keep as little value as possible under your roof and have better locks than your neighbours.

That is why we store only a minimum amount of information on our servers. Without revealing all our security details, I can inform you that our security consist of Industry Standard Software with high levels of security, such as firewall protection for the locations on which we store our data and Secure Sockets Layer (SSL) software for the protection of your personal information during transmission.

We will disclose your personal information when we are required to do so by law or subpoena or if we believe that such action is necessary to comply with the law and the reasonable requests of law enforcement or to protect the security or integrity of our Service.



Any other concerns?

Even though we are very fond of the character Mila and we hope you are too, we are a team of actual people building and maintaining Mila. We have the same concerns about our own privacy and security as you do. Therefore, I value any shared concerns you might still have and I am happy to answer all of your questions, as it will only improve our service.
